Since 1981, the Golden Gate National Parks Conservancy (Parks Conservancy) has served as the nonprofit partner of the National Park Service, collaborating with the Presidio Trust, partners, donors, and the community to support the Golden Gate National Recreation Area (GGNRA). The GGNRA stretches across three Bay Area counties north and south of the Golden Gate Bridge and includes iconic places such as Muir Woods National Monument, Fort Point National Historic Site, Alcatraz Island, Crissy Field, Mori Point, Lands End, and the Presidio of San Francisco.  
 
The Parks Conservancy engages at the intersection of national park sites, local communities, social justice, and climate resilience. Position and Department Description:
 
The Human Resources Department is part of our larger People and Culture function within the Parks Conservancy.  Our Human Resources team supports approximately 300+ employees across different work sites (office, home-based, field, warehouse, retail, etc.) throughout the San Francisco Bay Area. 
 
The Human Resources Coordinator will work closely with our employees as a key point of connection to human resources. They are the point of contact for new employees in assisting with new hire orientation and onboarding. The HR Coordinator also manages the HR inquiries inbox. This requires regular responsiveness paired with the judgment to decide who to route requests and inquiries to as well as potential follow up to ensure a response.
 
This HR Coordinator manages the HRIS system; inputting in changes, system updates, running reports, and reviewing data for accuracy.  The HR Coordinator will help to ensure compliance with labor and employment laws, support confidentiality and proper handling of records and information.  The HR Coordinator will assist with HR inquiries, carry out administrative and supportive responsibilities in all areas of the HR function, and work with the HR team on various initiatives and projects to support the Conservancy in its mission, values and employees.  
 
To support building a working relationship with the employees who work at various sites, the HR Coordinator will schedule onsite days to some of the worksites like Alcatraz, Crissy Field Warming Hut, Golden Gate Bridge, Lands End and Muir Woods. 
 
This is an individual contributor, full-time, non-exempt position and does not supervise employee(s).
 
The Human Resources Coordinator reports to the Director Human Resources and is primarily an internal and employee-focused role at the Parks Conservancy.
 
Essential Functions and Responsibilities:
 
Records Management and New Hire Support
  • Responsible for all new hire administrative processes:  Personnel Action Notice forms, creating and sending offer/transfer letters to new hires and employees, managing and completing all system data entry relating to new hires and transfers, etc.
  • Provide new employees with a welcoming experience on their employment journey through an enhanced  on-boarding process, elevating Parks Conservancy culture, mission, vision, and values.
  • Prepare new hire (onboarding) and termination (offboarding) packets.  Process paperwork appropriately. 
  • Maintains Human Resources Information System (HRIS) and personnel file data accuracy and runs reports as needed.  Enters new hire data and updates employee profiles for changes in HRIS and vendor sites.  Ensure system accuracy and integrity.
  • Follow-up on Personnel Action Notice Forms for any changes to employment records.
  • Background check compliance: Initiate, monitor and follow up with background check screenings and manage checks related to driving records reports for employees that need access to company vehicles.
  • Personnel file maintenance:  Handle sensitive and confidential disciplinary or performance related document files.
  • Create and maintain employee personnel, benefits and health, I-9, workers’ compensation files in accordance with company policy and legal compliance.
  • Ensure employment records are compliant with all Federal, State, and local laws and regulations. 
Communication With Employees
  • Manage all mail sent to the General Human Resources email box and respond directly or route the inquiries to the appropriate individual.
  • Ensure all applicable labor law posters are up to date and posted in all worksites; maintain inventory of labor law pamphlets.
  • Respond to HR-related inquiries or escalate as needed
Support other Human Resources Functions
  • Support Talent Acquisition Manager with the recruitment process when necessary, such as job posting, redacting applications, resume review, scheduling interviews, etc.
  • Assist the Benefits and Leaves Manager with preparation and communication of benefits summary for new employees during Open Enrollment, workers compensation claims resolution and healthcare claims issues, and Leaves of Absence (LOA) packets, and in providing information in support of annual benefit plan audits. 
  • Assist Payroll Manager in completing annual and quarterly reporting, including reports for the Bureau of Labor Statistics and the EEO.
  • May provide back-up support for other members of the Human Resources team.
  • Tracks online harassment prevention training.
Event Planning
  • Support HR team in preparing for New Hire Orientations and other employee trainings.
  • Assist and actively participate in organizing, planning and hosting HR-sponsored events, including:  Park Days, All Staff meetings, Benefits Fairs, and Holiday parties
  • Manage calendar and acknowledgements for employee’s anniversaries and birthdays
  • Help plan and attend job fair events when necessary, representing the Parks Conservancy.

Education and/or Experience:
  • Minimum of two years’ HR experience
  • Demonstrated experience in building relationships or in customer-facing role
  • Experience working in an HRIS or other complex database system; ADP is a plus
  • Ability to learn new technological systems
  • Experience prioritizing multiple projects
  • Computer proficiency and technical aptitude required; Excel or other spreadsheet application  
  • Experience organizing and maintaining records.

Physical Requirements and Work Environments:
 
This position is located at the Parks Conservancy’s headquarters in Fort Mason, San Francisco.  Work is performed in an office setting, including a mix of telework and on-site. This position will require at least 2 days per week either in office or visiting park sites to meet the essential requirements of the position.
  • Work is primarily performed sitting and standing:
    • Regularly sits or stands at a desk 6-8 hours per day;
    • includes some walking when visiting employees at park sites
    • Includes occasional lifting and carrying of items up to 30 pounds to set up and break-down related events (open enrollment, etc)
  • Requires drivers license and good driving record
  • Able to travel to work sites across San Francisco Bay Area, including Alcatraz, Muir Woods, Golden Gate Bridge, Crissy Field, Presidio, and other outdoor worksites.
  • Candidates who pass a DMV check and are eligible for Parks Conservancy insurance may use organizational vehicles to travel to work locations.

Compensation and Location:
 
The Parks Conservancy provides its employees with a competitive salary that is benchmarked with other nonprofit organizations in the Bay Area. The hourly pay rate for this position is $33.50 (Grade 17).  To ensure equity across all candidates, we will not negotiate salary.
 
This position is full-time, and you must already be based in or willing to relocate to the San Francisco Bay Area. This position requires at least 2 days per week onsite (ideally 3), either in the office (Fort Mason) or visiting our employees on location at our incredible park sites (for example, Alcatraz, Muir Woods, and Crissy Field).
