Job Title: Talent Acquisition Coordinator

Location: San Jose, CA (Onsite)

Type: Contract

Pay: $32-$42 per hour

Overview:

Our client is seeking an experienced and detail-oriented Talent Acquisition Coordinator to support a fast-paced recruiting team. In this role, you’ll play a critical part in managing interview logistics, ensuring compliance, and providing a seamless candidate experience. You’ll work closely with recruiters, hiring managers, and candidates while juggling multiple priorities with a high level of professionalism and organization.

Key Responsibilities:

  • Manage high-volume interview scheduling across multiple time zones using Outlook

  • Support up to 6 recruiters with daily coordination tasks

  • Communicate directly with candidates to confirm availability and manage logistics

  • Coordinate interview scheduling with hiring managers and internal teams

  • Confirm all interview details with candidates and interviewers

  • Arrange candidate travel and obtain necessary approvals per company travel policy

  • Educate candidates on travel policy dos and don’ts

  • Process candidate reimbursements

  • Verify requisition approvals and ensure required documentation (NDAs, applications, EEO forms) is completed before interviews

  • Handle invoice processing and tracking

  • Submit onboarding documentation to HR and ensure accurate file creation and recordkeeping

  • Assist with HR administrative tasks and project support as needed

Qualifications:

  • 4+ years of coordination experience, preferably in Talent Acquisition

  • Strong experience with Greenhouse ATS; Jobvite experience is a plus

  • Proven ability to work with senior leadership and C-level candidates

  • Highly organized, detail-oriented, and able to thrive in a fast-paced environment

  • Adaptable and proactive in responding to changing priorities

  • Excellent written and verbal communication skills

  • Comfortable working independently and collaboratively in a team setting

  • Proficient in Microsoft Office Suite (PC environment)

  • Quick learner with the ability to pick up new software tools
