This role offers an opportunity to provide critical administrative and operational support for a homeowners' association, directly impacting resident satisfaction and community management. You will serve as a key point of contact for residents, assisting with inquiries, work orders, compliance, and financial transactions, while ensuring smooth office operations. The position requires a combination of customer service, organizational skills, and technical proficiency, with responsibilities that include supporting board meetings, managing records, and maintaining community databases. You will work closely with property managers to enhance efficiency, enforce community policies, and support team initiatives. This is a fast-paced, collaborative environment where attention to detail, communication, and problem-solving skills are essential.

Accountabilities:
  • Provide administrative support to the management office, including answering calls, assisting residents, and maintaining office systems
  • Track resident issues, input work orders, process requests, and maintain compliance and inspection records
  • Prepare newsletters, notices, and website updates, and assist with board meetings and resident communications
  • Maintain homeowner rosters, databases, and financial records, including processing payments, refunds, and expense checks
  • Support property managers in reviewing leases, approving new owners, and managing contracts or collections
  • Assist residents with amenities, access control, and community requests while ensuring consistent enforcement of policies
  • Perform property inspections, follow up on maintenance requests, and support safety and compliance initiatives

Requirements:

  • High school diploma or equivalent; additional education preferred
  • Minimum of 1 year of administrative support or related experience, preferably in property management or HOA operations
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and ability to learn new software quickly
  • Strong customer service, communication, and interpersonal skills with the ability to handle conflict professionally
  • Excellent organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment
  • Ability to maintain confidentiality, act with professionalism, and work independently or collaboratively
  • Physical capability to lift up to 30 lbs., work in a seated position for long periods, and navigate properties for inspections and support
  • Valid driver’s license may be required; multiple language fluency is a plus
