Job Summary:
As an essential member of the Lucid Facilities team, the Corporate Facilities Occupancy Specialist is responsible for optimizing space utilization across the corporate real estate portfolio. This role partners closely with HR, Finance, IT, and business leaders to align workplace strategy with headcount planning, business growth, and operational efficiency.
The ideal candidate has strong project management skills, experience in space planning, and the ability to collaborate with internal and external stakeholders to deliver high-quality facility solutions.
You Will:
Space Planning & Occupancy Management
- Maintain accurate occupancy data, seating assignments, and space inventory across all sites. Locations supported include (7) Bay Area facilities, and a growing portfolio of Regional Hub locations including Arizona and Michigan, along with other satellite locations. On-board new locations to the planning platform as needed.
- Develop and manage space allocation plans based on headcount forecasts and business needs.
- Support restacks, reorganizations, and departmental moves
- Track utilization metrics and recommend improvements
Data & Systems Management
- Maintain Space Planning & Allocation System accuracy, including seamless transition between operating systems when applicable.
- Produce regular occupancy reports and dashboards for leadership
- Conduct space audits to validate data accuracy• Analyze trends in utilization, vacancy and growth
Strategic Planning & Portfolio Support
- Support annual headcount planning cycles and scenario modeling, in collaboration with HR, Recruiting, and internal Senior Architect.
- Provide occupancy analysis to inform lease decisions, expansions, or consolidations.
- Partner with Finance and Facilities PMO on cost-per-seat and portfolio efficiency metrics across Lucid locations
- Identify opportunities to reduce global footprint and space efficiency, working alongside
- Senior Architect to ensure code compliance and occupancy thresholds are maintained
Move Management & Change Coordination
- Coordinate small/mid/large scale employee moves with IT and other key stakeholders.
- Develop move plan scenarios and seating charts for business unit approvals
- Communicate move logistics and timelines to stakeholders, ensuring minimal business interruption
Stakeholder Engagement
- Serve as primary point of contact for all space-related inquiries.
- Partner with HR and department leaders on team growth planning
- Provide quarterly executive-ready summaries of occupancy utilization and recommendations
- Support workplace experience programs in partnership with Facilities Operations
You Bring:
- 3-7 years of experience in corporate facilities, space planning, and occupancy planning
- Proficiency in space planning software (CAFM, AutoCAD, CADm Revit, etc.).
- Strong Excel and data analysis skills
- Experience managing cross-functional stakeholders
- Knowledge of building codes, workplace standards, and facilities best practices.
- Ability to translate data into actionable recommendations
Preferred Qualifications:
- Experience in corporate, technology or R&D Environments
- AutoCad or space planning software experience
- General understanding of building codes/lease structures/accessibility requirements
