Location
This role is open to candidates based in the United States, with a strong preference for those located near our San Mateo, CA or Provo, UT offices. While the position is remote, team members within approximately 50 miles of either office operate on a hybrid schedule (Mondays, Wednesdays, and Fridays in office).
The Opportunity
We are seeking a highly organized, detail-oriented People Operations Coordinator who operates with urgency, precision, and accountability. This role is built for someone energized by high-intensity environments—where priorities shift quickly, expectations are high, and execution matters.
You will be a critical driver of day-to-day People operations, ensuring flawless coordination across onboarding, employee experience, compliance, and internal processes.
Key Responsibilities
- Maintain accurate and up-to-date employee records within HRIS and personnel files, ensuring data integrity, organization, and compliance with company policies.
- Administer and monitor Form I-9 employment eligibility verifications, ensuring timely completion, accurate documentation, and adherence to federal regulations.
- Support new hire onboarding by preparing required documentation, coordinating system access setup, and scheduling orientation sessions.
- Partner with People Operations, IT, and hiring managers to deliver a seamless and welcoming first-day experience for new employees.
- Assist with off-boarding processes, including documentation collection, system access updates, and coordination of exit procedures.
- Provide administrative support for employee engagement initiatives and related programs as needed.
- Proactively identify and implement workflow improvements, leveraging AI and other tools to streamline and automate backend processes.
- Manage sensitive employee information with the highest level of discretion, ensuring strict confidentiality at all times.
Qualifications
- 1-3 years of experience in HR/People operations or coordination in a start-up environment
- Strong organizational and project coordination skills
- Excellent communication skills and attention to detail
- Comfort with ambiguity and shifting priorities
- Bachelor's degree or equivalent
